The technology behindRight from the beginning, it was essential for execute.dk to create a technical system that could work both as a recruitment and administrative tool and as a way of communicating with all applicants. This technical system became a significant parameter for the successful accomplishment of the COP15 assignment. Due to these features, the COP15 website functioned as the administrative heart through the entire course. The site was designed and came up and running during the so-called ‘stand still’ period of ten days before the contract with the Danish Ministry of Foreign Affairs was signed and, thus, it was already in operation for 23 June 2009 when execute.dk started working with the Foreign Ministry. Initially, the website was supposed to function as a recruitment tool containing all relevant information for potential candidates wishing to apply for the vacant positions. execute.dk was able to reach all applicants through the website and thereby ensuring that all candidates were rated in the task-specific system. The rating focused on specific qualifications possessed by the approximately 2000 candidates who applied for the positions, and the system made it possible for the team to assess all candidates in a well-planned manner. When the employees were hired in October, they were registered in execute.dk’s pay-roll system and during the convention, all hours and supplements were registered and verified electronically on a daily basis. This meant that when the payment of wages was to be carried out at the end of December, all details were ready in the database system and the risk of errors was minimised. The Foreign Ministry’s internal employees were also registered in the database so that the entire workforce was gathered in one place. This way, it was possible to make work schedules for everyone in the same system. Also, the system was set up to send messages directly to the employees’ emails, and in situations when it became necessary to act really fast, an SMS service for mobile phones was connected to the system. In this way, we were able to communicate quickly with many candidates and with specific employees. |
